What We Back Up
The specific data included in your backup depends on your setup and support agreement. Here’s a breakdown of typical coverage:
For Standard PCs or Laptops (when covered by a backup plan):
Backup is only provided if a dedicated backup plan has been purchased
Where in place, this usually includes:
User folders (Desktop, Documents, Downloads, etc.)
Network drives (if mapped)
Key business folders as agreed
For Servers or Shared Drives:
Full file shares and department folders
Line-of-business application data
Databases (SQL, Access, etc.)
System state or full system image (if required for disaster recovery)
For Microsoft 365 Users (with backup enabled):
Mailboxes (emails, folders, calendars, contacts)
OneDrive for Business
SharePoint libraries
Microsoft Teams files and chats (stored in SharePoint/OneDrive)

How Often Backups Run
Backup frequency depends on the service type and business need:
Workstations (where included): Typically once daily, overnight
Servers: Typically backed up daily, with more frequent backups (e.g. hourly) available on request
Microsoft 365: Usually backed up every 4–6 hours during the day
Cloud-to-cloud backups: Snapshot intervals vary by vendor, typically several times daily
Fusion IT actively monitors backup jobs and receives alerts if any fail or don’t complete.
Where Are Backups Stored?
Local backups are saved on designated backup drives or NAS appliances
Offsite/cloud backups are encrypted and stored securely in UK or EU-based data centres
Microsoft 365 backups are kept separately from Microsoft infrastructure for added resilience
How Long Are Backups Retained?
Retention policies are based on your requirements, but typical retention includes:
Servers: Retained for 30 days, unless a longer period is specifically agreed
Workstations: Aligned with your workstation backup plan
Microsoft 365 and Cloud Backups: Retention settings depend on the platform but are usually customisable
Longer retention periods are available where needed for compliance or legal hold purposes.
