Common Microsoft 365 Issues

Microsoft 365 is a powerful cloud platform, but occasional issues can disrupt your day. Below are some of the most common problems users experience, along with suggested solutions and when to contact support.


1. Can't Sign In

Symptoms:

  • "Incorrect username or password" errors

  • Account locked or timed out

  • Multi-Factor Authentication (MFA) not prompting correctly

Fixes:

  • Double-check your email and password

  • Make sure Caps Lock is off

  • If you’ve forgotten your password, reset it at https://passwordreset.microsoftonline.com

  • Restart your phone if you're not receiving MFA prompts


2. Outlook Not Syncing or Won’t Open

Symptoms:

  • Missing or delayed emails

  • Outlook won’t start or crashes

  • Stuck on “Loading Profile”

Fixes:

  • Restart your computer

  • Ensure you're connected to the internet

  • Close Outlook, then run it in Safe Mode (Hold Ctrl while opening Outlook)

  • Re-add your email account if needed


3. Emails Going to Junk or Not Arriving

Symptoms:

  • Important messages end up in Junk/Spam

  • Messages you send are not received by others

Fixes:

  • Check Junk Email folder regularly

  • Mark trusted senders as Safe

  • Ask your contact to whitelist your domain

  • Contact support if consistent delivery issues occur


4. OneDrive Not Syncing

Symptoms:

  • Files not uploading or downloading

  • Red "x" icon or sync error messages

Fixes:

  • Ensure you're signed into OneDrive with your work account

  • Restart the OneDrive client or your device

  • Check for storage limits or file name issues


5. Microsoft Teams Issues

Symptoms:

  • Can’t join meetings

  • App won’t open or freezes

  • Notifications not showing

Fixes:

  • Log out and back into Teams

  • Clear Teams cache or reinstall the app

  • Ensure you’re signed in with the correct account

  • Use the browser version if the app isn’t working
